Independent client-side IT project oversight
A vendor's project manager does not replace someone representing the client. Your organisation still needs ownership of business goals, decisions, priorities, scope changes, user availability and acceptance.
I help organisations run IT projects transparently and with control, without immediately building a large internal technology team.
Oversight does not mean conflict. A well-organised client helps the vendor work effectively, makes decisions faster and reduces disruption for both sides.
Who holds the full picture on the client's side?
Responsibility is often fragmented. Management sets budgets, business teams raise needs, IT handles integrations and vendors make technical decisions. Everyone sees part of the work, but nobody maintains the full picture.
An independent client-side PM or Product Owner connects those perspectives. They keep the technical solution aligned with the business goal and prevent issues and decisions from falling between organisations.
Scope of oversight
- Agree ways of working, responsibilities and decision routes.
- Control scope, priorities and changes.
- Check the schedule and current completion forecast.
- Connect spending to delivered outcomes.
- Maintain risk, decision and dependency logs.
- Prepare and run status meetings and reviews.
- Coordinate business teams, IT, users and vendors.
- Verify working outcomes and acceptance criteria.
- Organise UAT, acceptance and launch readiness.
- Escalate issues with clear decision options.
Measure progress through outcomes
Meetings, technical tasks and hours worked do not automatically equal value for the client. Reporting should answer concrete questions: what can we see, what has been accepted, how much essential scope remains and what will completion realistically cost?
I do not expect every project to stay perfectly on plan. I expect deviations to be visible, explained and connected to a decision.
Manage change without blocking progress
Change is natural, especially over several months. Oversight does not mean automatically rejecting it. Each change should have a rationale, impact assessment and decision owner.
A new need may increase the budget, move the deadline or replace a lower-priority item. Its consequences should be understood before work starts, not when the invoice arrives. More on scope creep.
Who this service is for
- Companies without an experienced internal PM or Product Owner.
- Organisations commissioning software from an external vendor.
- Projects spanning several companies, departments or vendors.
- Strategic implementations whose failure would affect operations or customers.
- Projects with changing scope, many integrations or fragmented responsibility.
- Management teams needing an independent view of delivery.
How oversight begins
The best time to start is before signing, while requirements, acceptance criteria and reporting can still be clarified. I can also join a project already in progress.
I first review scope, schedule, contract, backlog, reporting, risks and previous decisions. I then propose a proportionate control model. I do not introduce documents or ceremonies that do not help decisions.
What management and business owners receive
Instead of a stream of technical detail, they get a clear picture: where the project stands, what is at risk, which decisions are needed and what the options mean.
Oversight supports day-to-day delivery and preserves your organisation's ability to make informed decisions about further investment.
FAQ
Frequently asked questions
Does this duplicate the vendor's project manager?
No. The vendor's PM manages delivery within their organisation. Client-side oversight covers business goals, decisions, scope, acceptance and the client's own obligations.
Can you join after delivery has started?
Yes. I begin with a project review and identify which controls are needed.
Does an independent PM make the vendor relationship harder?
For mature teams, it usually makes things easier. The vendor gets a clear decision-making partner, better organised requirements and faster answers.
Can oversight be periodic?
Yes. The engagement can cover ongoing management, key reviews or periodic project health checks.
